Tabling at the library is a great way for campus groups to share what they're working on or passionate about, promote events and initiatives, and connect with the campus community through the libraries. Tabling involves setting up a table in the library where your group can engage with visitors, provide information, and promote your work or upcoming events.

Where you can table

Robarts Library: 1st or 2nd floor (depending on your request and availability).
Gerstein Science Information Centre (Please note that Gerstein is currently not accepting tabling requests for Fall 2026 / Winter 2027 due to ongoing renovations)

Up to four group members may staff a table at one time.

What’s provided

Gerstein: one table and up to four chairs per booking.
Robarts: Bench seating is provided. Robarts Library does not provide tables.
- Groups are responsible for bringing their own rectangular folding table (limit of one per group to avoid congestion).
- You are welcome to bring a standard rectangular folding table between 4 feet (1.2 metres) and 6 feet (1.8 metres) long.
  - Please do not bring tables larger than 6 feet, as they may cause congestion in the library. If you need to rent a table, we encourage student groups to connect with the U of T Student Union Resource Bank or by connecting with the Student Clubs team at clubs@utoronto.ca
There may be an outlet near your table. If your group requires access to power, please indicate this in your reservation request form.
Groups must bring their own supplies (e.g., tape, scissors, staplers).

Displays and signage

Posters and banners may not be taped or attached to walls or columns unless you receive advance permission.
Stand-up banners are allowed but must stay close to your table and clear of walkways.

Booking times

Hours: 10:00 AM–5:00 PM.
Limits: up to 4 hours per day, twice a week (maximum 8 hours per week).
Each request form covers one day only. Submit a new form for each additional date.

Response time

Please allow enough time for your tabling request to be reviewed and approved. Requests submitted fewer than two business days before the event may be denied.

You will usually hear back within 1–3 business days about your request. If you need to follow up, you can email:

Food and fundraisers

Selling food and drinks, including baked goods, is not permitted at the libraries, as well as the selling or distribution of products from external vendors (including items like books, banking and credit cards, etc.)

Tabling in the library is for promoting campus initiatives and raising awareness. No money can be accepted at your table and you cannot conduct any sales. Any items you choose to give away (such as food or flowers) must be free for everyone and not require a donation.

If your tabling or event involves distributing free food, you must notify Campus Events by completing the appropriate forms. Please review their office’s guidelines and complete the required forms on their webpage. You will be asked to provide these forms if your request involves providing or distributing food. The library reserves the right to cancel reservations if the above conditions are not met.

If these guidelines aren’t followed, the library may cancel your reservation and limit or deny future tabling opportunities.
